Section 01

Use of Equipment

  • All equipment must be used only for its intended purpose — golf clubs are for putting golf balls, not striking other objects or people.
  • Equipment must not be altered, modified, or removed from the hire location without prior written agreement.
  • Items should be treated with care and respect at all times.
  • Course bases (flat sections) may be stood on. Course obstacles — including the windmill, bridge, and loop de loop — must not be stood on under any circumstances.
  • No food or drink is to be consumed on or immediately next to the course. Spills can cause staining, damage, and safety hazards.
  • Any cleaning or repair required due to food or drink damage will be chargeable (see Section 5).
Section 02

Supervision & Safety

  • Children must be supervised by a responsible adult at all times when using the equipment.
  • Bailey Events staff will advise all users of safe use and potential hazards before play begins. The hirer is responsible for ensuring all guests receive and follow this guidance.
  • Equipment must not be used in a way likely to cause injury to participants, spectators, or damage to property. The ball does not need to be hit at full force.
Section 03

Early Pack-Down & Suspension of Play

Bailey Events reserves the right to temporarily suspend use of the equipment or pack away early if:

  • Weather conditions make play unsafe or risk damage to equipment.
  • Equipment is being misused in a way likely to cause injury or damage.
  • The hirer fails to ensure adequate supervision or a safe environment.
  • Any other situation arises that, in the reasonable opinion of Bailey Events staff, makes continued use unsafe or impractical.
Please note In such cases, Bailey Events will not be liable to provide a refund, but will always act reasonably and in the interests of safety.
Section 03A

Hire Duration & Pack-Down Times

Hire durations are sold as “up to” periods. A full-day hire covers up to 10 hours of active use as the course cannot be operated beyond 10pm regardless of when it was set up, time of year, or whether the event is indoors or outdoors.

  • Summer (outdoor or indoor): Pack-down will be completed by 10pm at the latest.
  • Winter (indoor): Pack-down will be completed by 10pm at the latest.
  • Winter (outdoor): An earlier pack-down time applies, to be agreed with the customer at the time of booking based on the time of year and expected conditions. This will always be discussed and confirmed in writing before the event.
Example A customer books a full-day hire and requests setup at 2pm. Even though 10 hours from setup would be midnight, the course will be packed down by 10pm at the latest. The usable hire window in this case is 2pm–10pm (8 hours, not 10). Customers are encouraged to plan their start time accordingly to make the most of their hire.

The agreed start and finish times will be confirmed in writing as part of the booking. Bailey Events will always discuss timing with the customer in advance to ensure the hire works for their event.

Section 04

Wear & Tear vs. Damage

  • Normal wear and tear — such as light surface scuffs from play — is expected and not chargeable.
  • Damage or loss caused by misuse, neglect, or failure to supervise will be chargeable (see Section 5).
  • Bailey Events reserves the right to charge for cleaning if equipment is returned excessively dirty.
Section 05

Damage & Additional Costs

The hirer accepts responsibility for all equipment during the hire period. Costs for replacement or repair will be charged as follows:

Charges may vary depending on severity of damage. Invoices for damage exceeding the security deposit will be issued within 14 days of the event.

In the case of deliberate or criminal damage, or theft, the matter will be reported to the police.

Section 06

Liability

  • Bailey Events holds public liability insurance and takes all reasonable steps to ensure the safe operation of its equipment.
  • Bailey Events will not be held responsible for accidents, injuries, or damage arising from misuse of the equipment by guests or hirers, or from the hirer's failure to supervise.
  • Nothing in these Terms limits Bailey Events' liability for death or personal injury caused by its own negligence — this cannot be excluded under UK law.
  • The hirer is responsible for ensuring a safe environment for use, including an appropriate ground surface, adequate space, and compliance with any site-specific rules.
  • By participating, all users accept personal responsibility for playing safely and following staff guidance.
Section 07

Payment & Security Deposit

  • Booking deposit: A non-refundable deposit of 10% of the total hire fee is required to secure your booking. Your date is not confirmed until this payment is received.
  • Final balance: The remaining balance must be paid no later than 28 days before the event date, unless otherwise agreed in writing.
  • Security deposit: A refundable security deposit of £100 is required alongside the final balance. This will be returned within 10 working days of the event, once the equipment has been checked for damage.
  • Any additional charges for damage exceeding the security deposit will be invoiced after the event and must be settled within 14 days of the invoice date.
Section 08

Cancellations & Postponements

  • More than 28 days before the event: The booking deposit is retained; any additional payments will be refunded in full.
  • 14–28 days before the event: 50% of the total hire fee is payable.
  • Less than 14 days before the event: 100% of the total hire fee is payable.
  • Postponements: If your event is postponed, Bailey Events will make every reasonable effort to transfer your booking to a new date, subject to availability. Any such change must be agreed in writing.

Costs for damage, loss, or excessive cleaning will be invoiced after the event (see Section 5) if they exceed the security deposit.

Section 09

Amendments to Bookings

Requests to amend a booking — including changes to course size, hire duration, or event date — must be made in writing. Amendments are subject to availability and any applicable price difference. Bailey Events will confirm all changes in writing.

Section 10

Bailey Events' Right to Cancel

While every effort will be made to honour all bookings, Bailey Events reserves the right to cancel a hire in the following circumstances:

  • Adverse weather: Conditions such as heavy rain, high winds, or flooding that make it unsafe or impractical to set up or operate the equipment.
  • Equipment breakdown: If equipment is severely damaged during a prior hire, or a fault develops that makes the course unsafe.
  • Staff illness or emergency: In the unlikely event that staff are unable to attend due to illness, accident, or unforeseen emergency.
  • Venue unsuitability: If the event location is deemed unsafe, unsuitable, or inaccessible on arrival. The hirer is responsible for ensuring reasonable access at the agreed time.
  • Force majeure: Circumstances entirely beyond our control, including natural disasters, pandemics, or government restrictions.
Refunds if we cancel If Bailey Events cancels, a full refund of all monies paid will be issued. If an event is curtailed after it has begun due to weather or other circumstances beyond our control, a partial refund will be considered at Bailey Events' reasonable discretion. Bailey Events will not be liable for any additional costs the hirer incurs as a result of cancellation.
Section 11

Photography & Marketing

Bailey Events may take photographs or video at events for use in marketing materials, including on our website and social media. We will never intentionally photograph identifiable individuals without reasonable cause and will always handle images responsibly.

If you appear in a photo and would prefer not to:

  • Before the event: Let us know in writing before the event date and we will not photograph you or your guests without consent.
  • After the event: Contact us at info@baileyeventsnorfolk.co.uk and we will either remove the image from our website and social media entirely, or — if you are happy for the photo to remain — obscure your face so you are no longer identifiable. We aim to action all such requests within 14 days.

We will not alter faces in a way that misrepresents someone or creates a false impression. Where a face is obscured at request, the photo may continue to be used with the edit applied.

This clause is in addition to, and does not limit, any rights you have under UK data protection law.

Section 12

Data Protection

Your personal information is held securely and used only for the purposes of managing your booking. We do not sell or share your data with third parties. For full details or to make a data request, please contact info@baileyeventsnorfolk.co.uk.

Section 13

Final Authority

For the safety of participants and the protection of equipment, the decisions of Bailey Events staff are final on the day of hire. Staff instructions must be followed at all times.

Section 14

Acceptance

By paying a deposit or confirming a booking with Bailey Events, you confirm that you have read and agree to these Terms & Conditions. These Terms form the basis of the contract between you and Bailey Events Norfolk.

Section 15

Governing Law

These Terms & Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

Section 16

Consumer Rights

Nothing in these Terms is intended to affect your statutory rights under UK consumer law. If any clause is found to be invalid or unenforceable, the remaining clauses will continue to apply in full.
